Ceremony
Graduation ceremony for bachelor's, master's and doctoral candidates.
Activity: The Ceremony
Volunteers
ACCESSIBLE SEATING
► Monitor reserved accessible seating
area.
► Direct guests being escorted by
volunteers into available seats. Those
in need of such seating should be
accompanied by no more than 2 guests.
► 2 Volunteers should be stationed (1) at
the elevator on the Arena level and (1)
on the walkway in front of the bleachers
to assist in directing guest to the
accessible seating area.

ALARM GUARD / PROGRAM
► Distribute one program to each of the
650 seats on the arena floor beginning
at 11:00 a.m.
► Upon completion, phase into alarm duty,
where you'll safeguard the fire alarm
pull boxes on the arena floor and in the
arena hallways. Please stay in the
general area of your assigned alarm, but
feel free to move a bit as needed. This
responsibility is to prevent anyone from
pulling a false alarm either
accidentally or maliciously. Should
someone seriously be attempting to pull
an alarm due to fire, smoke, or other
threatening conditions, you should
assist him/her.
CLOSED
DISABLED ACCESS & TRANSPORT - SEFCU
► Wheelchair jockeys should provide
assistance to disabled and/or frail
guests by offering assistance and/or a
wheelchair ride to individuals who may
have difficulty making the walk into the
SEFCU ARENA. Wheelchairs are for
TRANSPORT ONLY. Guests will not be able
to sit in them throughout the ceremony.
Wheelchair volunteers will give a ride
to the arena seating area for the guests
needing wheelchair assistance, then
return to curb-side to offer additional
assistance.
► Lobby volunteers should greet
needy/elderly/ frail, (not in
wheelchairs) guests, escort them to the
elevator and give them a program.
► After the ceremony, wheelchair escorts
will transport disabled/frail guests
back to the ramp outside the SEFCU ARENA

ELEVATOR OPERATOR
► Working directly with the Disabled
Access team, manage transport of the
elderly in the elevator to the arena
level. The elevator will be locked so
volunteer must be stay with it at all
times prior to and after the ceremony.
CLOSED
FLAG BEARER ASSISTANT / CHECK IN
► Help with the flag bearer rehearsal the week
before commencement (this will be in place
of the regular volunteer rehearsal, not in
addition to it).
► Staff will check in all flag bearers in the
PE bldg., making sure they receive their
name reader card and pin.
► Staff will need to be in contact with Team
Leader to be sure that all flag bearers
have arrived on time, otherwise alternates
will need to be asked to walk.
► Flag bearers will then be led to the back
of the SEFCU Arena where they will line up
with their flags for the procession.
CLOSED
FLOOR / CROWD CONTROL - SEFCU
► You are asked to be a friendly face as
guests enter the SEFCU(on the arena
level), ensure all guests find a seat in
an orderly fashion, and direct them to
where they may need to go (i.e.
restrooms, etc.)
► Volunteers on the arena floor during the
ceremony are primarily intended to keep
guests off the arena floor. Family
photographers will get anywhere they can
to get a good shot, unconerned that they
may be blocking someone else's view.
Your job is to politely ask them to
return to their seats.
► After the ceremony ends, floor staff are
asked to open the roping separating the
disabled seating area from the rest of
the bleachers and open the doors leading
to the parking lot.

GREETER - SEFCU
Before Ceremony:
► Un-box programs and place them on the
tables inside the SEFCU arena at lobby
level.
► Hide empty boxes underneath the tables.
► Greet guests, hand them a program, and
direct them to the bleacher seating
areas.
► Clear processional route to East & West
stairwells as students begin to depart
the PE bldg.
During Ceremony:
► Patrol the arena lobby level walkway,
preventing guests access to the south
end behind the stage discouraging
running by young guests and generally
providing assistance and directions.
► Two volunteers should be at the
southeast/west corners of the upstairs
track so that guests cannot get behind
the stage area up top (this is extremely
distracting to guests.
CLOSED
MARCHING FACULTY LINE UP - SEFCU
► Report to the Phys. Ed building
gymnasium and check faculty in as they
arrive, get them lined up behind their
marshals.
► Turn in sheet with the names and
addresses of all participating non-
hooding faculty to team leader after the
procession begins.
CLOSED
MARSHAL'S ASSISTANT - SEFCU
► Volunteers are asked to report to the
Physical Education Building Room 123
where you will check
the marshals in as they arrive. Please
turn in sign in sheet to your team
leader
► You will then help get them to the
assigned positions in the gym, where
they will lead the students in the
processional.
► PE 123 will be locked during the
ceremony, but you will need to be sure
security or custodial staff does this
when everyone has vacated the room.
Similarly, please arrange for the room
to be unlocked after the ceremony, and
staff it until all valuables are gone.
CLOSED
MUSIC MANAGER
► Acts as a liaison between singer and
band. Responsible for cuing music at
appropriate times.

NO PREFERENCE
► I am available and have no job
preference. Please assign me where I'm
needed most.

PHOTO ASSISTANT
► Assist the photographer as needed
throughout the ceremony (i.e. adjusting
tassels, moving graduates along,
recording names, etc).
► Remind the photographer prior to the
ceremony that the flag bearers will be
available for photographs in the back of
the arena 25min prior to the ceremony
start time.
CLOSED
RADIO MANAGER
► Responsible for organizing and labeling
radios and putting them into chargers.
Signs out radios to necessary
individuals and is responsible for
collecting them after the ceremony.
► Will assist in the Volunteer Sign-in on
the day of commencement.

SPECIAL SEATING
► Greet/seat guests as they enter the
special seating area (location provided at
rehearsal. You will be provided with a
list on the day of the event.
NOTE: Guests in the area will be family
and friends of flag bearers, legacies, and VIPs.
Maximum guests allowed for each graduate or platform party participant is TBD. Others will
need to use regular seating.

STUDENT LINE UP / PROCESSION - BA/BS
► Responsible for the BACHELOR DEGREE
Student Lines
► Volunteers should report to the Phys.
Ed. Blg. no later than 11:00 a.m.
Students will arrive at 12:00 noon.
► Volunteers will help students robe,
check that they have a commencement
reader card, and assemble them in two
even lines (by school) for the
procession which will be lead by the
Marshals. The BA/BS candidates will
follow the MA/MS candidates in
processional order and be the last group
to leave the PE gym.
► As the procession begins, designated
volunteers should follow the lines from
the PE building to the SEFCU Arena to
ensure that they remain in tact, and
that they are directed to the
appropriate stairwell to access the
field level.
► Once the ceremony has begun, volunteers
should straighten up the gym and collect
all signs and return them to the Hall of
Fame Room.

STUDENT LINE UP / PROCESSION - MA/MS SECTION
► Responsible for the MASTER'S DEGREE
Student Lines
► Volunteers should report to the Phys.
Ed. Blg. no later than 11:00 a.m.
Students will arrive at 12:00 Noon
► Volunteers will help students robe,
check that they have a commencement
reader card, and assemble them in two
even lines (by school) for the
procession which will be lead by the
Marshals. The MA/MS candidates will
follow the PHD candidates in procession
order and be the second group to leave
the PE gym.
► As the procession begins, designated
volunteers should follow the lines from
the PE building to the SEFCU Arena to
ensure that they remain in tact, and
that they are directed to the
appropriate stairwell to access the
field level.
► Once the ceremony has begun, volunteers
should straighten up the gym and collect
all signs and return them to the Hall of
Fame Room.

► Responsible for the PH.D. candidate

reader card, and assemble them in two
even lines (by school) for the
procession which will be lead by the
Marshals. The PHD candidates will follow
the flagbearers in processional order,
but will be the first group to depart
the PE gym.
► As the procession begins, designated
volunteers should follow the lines from
the PE building to the SEFCU Arena to
ensure that they remain in tact, and
that they are directed to the
appropriate stairwell to access the
field level.
► Once the ceremony has begun, volunteers
should straighten up the gym and collect
all signs and return them to the Hall of
Fame Room.

► Collect tickets in the lobby of the SEFCU
